  2. Click on Pathways
  3. Choose Go to Basecamp
  4. Click on Feedback.

To Leave Feedback for another Toastmaster.

  1. Login to Toastmasters Int.
  2. Click on Pathways
  3. Choose Go to Basecamp
  4. In the Search Bar at the top, type in the name of the member for whom you want to leave feedback.
  5. Select that members name.
  6. Choose Feedback.

  1. Golf Outing Committee – George Kiser reported that the golf outing will be held on October 10 in Fenton and 10 people have signed up so far.  Participants must arrive by 8 am sharp. Contact Bill Collier or George Kiser if you have questions.

New Business:

  1. Jerry Paul reported that Toastmasters International sent a congratulatory letter for South County Toastmasters reaching the 45 year milestone since the club was established.
  2. Bill Collier reported that Jack Bettag’s visitation and funeral service were well attended by Toastmasters.    Steve Bettag, Jack’s son, gave the eulogy and his past Toastmasters’ experience benefited him in doing so and was evident in a job well done.  At Max Kaiser’s reminder to Bill, flowers were sent on behalf of the club.  Bill requested reimbursement for $129.11 for the floral arrangement sent (receipt from Schnuck’s Floral).  A vote was taken and the reimbursement was approved.

Correspondence and Announcements:

  1. The Toastmaster next week will be Kat Higashino.
  2. Victor Mattison is now the District 8 Growth Director, one of the top 3 roles at the District level.  Congratulations Vic!
  3. Max Kaiser, an inactive past member, is in a nursing home in Eureka and will be there until the pandemic is over.  Jim Salih said the nursing home is in lockdown so visiting in person is not feasible at this time.

Speaker Wins AGT

If you are a fan of America’s Got Talent, you see quite an assortment of talented individuals from singers to trapeze artist and dog trainers. What you have never seen until now are speakers.

Brandon Leake is the first speaker to appear on AGT and his initial presentation was a work of art and was quite inspiring. He went on to win the million dollar prize and make history on the show.

    • Jerry showed us a coloring sheet that included military people, firefighters and police with an American flag.
  2. VPE – Kat Higashino :
    • Welcome to our new members, Elisa and Callie.  Kat will release the October schedule by this weekend.
  3. VPM – Brent Stewart – Brent introduced Elisa Wong and read her application for membership. She was voted into the club.  Please welcome Elisa.  Her mentor is Susan McConnell.
  4. VP-PR – Partick Hunt – If anyone has experience with creating virtual banners let Patrick know.
  5. Secretary – Kathy Denton – Toastmasters International has the Smedley Award open to achieve.  To obtain the award our club must get 5 new members from August 1 through September 30.  Thanks to our new members who are already helping the club out by joining.  To any guests who are considering joining, if you can join by September 30th it will help the club achieve the goal.  Brent shared that we are on track to achieve it.
  6. Treasurer – Kim Bond

  3. Bill Collier informed us of the passing of South County Toastmasters’ long time and much loved member Jack Bettag.  Per Bill’s email:
    1. Visitation will take place at Kutis Funeral Home, 10151 Gravois, on Sunday, 9/20 from 4pm-8pm

    3. Secretary’s post meeting note:  Jack was a Distinguished Toastmaster, a member for 37 years, and Club President 3 times (1993, 1999, and 2005).  Jack was also District Secretary, and Speech Craft and Youth Leadership chair.
  4. Dave Dilthey, a guest, past Toastmaster of West County and past Area Governor, is also affiliated with Sunset Hills Rotary club and he informed us after the meeting that if any Toastmasters want an opportunity to speak outside the club the Rotary club invites speakers.

      • The PR Committee is also reaching out through the Sunset Hills Chamber of Commerce and we hope to gain new members through this outreach program.

  • Jerry informed us of a Zoom training coming up, and Debbie informed us the date is going to change.  So we should get an email about it when the date is updated.
  • Our guests, Liz DeCamp and Elisa Wong both expressed interest in joining.  Brent will send them membership forms.  Liz said she plans to come back in Mid September.  Elisa said she googled clubs in her area and found about 70 clubs and ours was the most structured with a good website and minutes.

    • Jerry reported that the Executive Committee met and agreed to assign our club proxy votes to Patrick Hunt.  That information has been entered into the District 8 website.

New Business:

  • Kathy Denton said it is hard to find the meeting link among all the emails about the meeting and suggested that the person who sends the meeting link include the word, “link” in the subject line along with the meeting date and time.  Kat suggested that Toastmasters also include the link with the agenda.
  • Patrick Hunt announced that as our Area Director he would be observing to evaluate our meeting.
  • Jerry said that Toastmasters International will hold their National Convention and business meeting August 24 through August 29th.
  • Debbie made a motion that the last week of September be used to work on Pathways projects.  It was seconded, voted upon and passed.

      • At the Community Center hand sanitizer and masks are in use and available.  The Community Center requires that masks must be worn except when speaking at the lectern.

      • Kat will send an email requesting members to indicate if they plan to attend in person or on Zoom and to identify role requests for September.  Kat will do her best to accommodate requests but please be patient as we work through role assignment issues.

  • Jerry said that Toastmasters International will hold their business meeting the end of August and made a motion that the SCTM executive board be given the right to discuss and decide who will carry our proxy vote.  The motion passed.  Jerry will schedule an executive meeting.

  • Bill Collier announced that he recently spoke with Jim Ruzicka who is now cancer free.
  • Kathy said there is a way to change your skin tone for reactions in Zoom.  If you would like instructions on how to do that send Kathy an email.
  • Susan McConnell said thanks to those who made the hybrid meeting work.  It worked pretty well except the sound could be better from the lectern.
  • Jerry announced that he is helping the Columbia, Illinois rotary club set up hybrid meetings.

Club Officer Meeting Minutes – July 21, 2020

Jerry – We received an email from Sunset Hills Community Center (SSCC) concerning restarting in person meetings.  Jerry plans to run a test of a hybrid meeting once his equipment arrives.  Kathy suggested he talk with Vic and Debbie since Vic had mentioned he had been working with Debbie on that.

Jerry asked if we can start 8/1 if the equipment is available then.
– Becky at SSCC will assist with WiFi setup
– Kat indicated about 17 people have been attending on zoom.
– The max attendance for a room is 15
– When no one signs up for an adjacent room we get a double sized room for the same price
– Visitors can attend in person if it doesn’t put us over our limit
– Kathy suggested requiring pre-registration for in person attendance to avoid people getting there and being turned away.  Kat offered to manage pre-attendance registration.
– Can have 25 people if we just use chairs instead of the U shape table setup.
– Have to wear masks except when eating. Jerry will ask if speakers have to wear masks when speaking.
– Jerry will bring extra masks and hand sanitizers for people who forget their own
– Kathy suggested giving speakers and the Toastmaster priority for in person attendance.  She also suggested that Kat ask how many guests people plan to bring when doing pre-registration. Kat agreed to do that.
– Jerry will seek volunteers for room setup training so we have backup setup people

Summary
– Jerry will contact Vic and Debbie concerning tech setup
– Jerry will find out when the zoom room will be available
– Jerry will ask Becky at SSCC if speakers have to wear masks

Post summary discussion:
– Kat said some people can’t start at 6 and that limits who can do some roles, so members have to be flexible and willing to fill multiple roles
– Patrick met with the Chamber of Commerce and showed us the Plaque they gave him.  One member, Charlotte, is interested in attending as a guest.
– Patrick is our Area 4 Director and is planning to schedule an official club visit.  There will be forms to fill out.

      • Jerry said we are targeting the first week of August to offer in person and zoom hybrid meetings, if we can work out all the details by then.  Tom asked us to consider which roles are aligned better with in person meeting and which roles align better with Zoom.  Jerry said they will consider that when they do the test and let us know.

New Business:

  • Debbie Young said that the Missouri Athletic Club (MAC) Toastmasters club is interested in doing a meeting swap with us and she asked how many of our club might be interested and 8 hands were raised.  This won’t take place until September or October.  Kathy suggested Debbie send out an email so members not present tonight can let her know if they are interested.

  • There was some discussion about the Ah Counter role being pointless without the bell and several people agreed.  Bob suggested the Ah counter could consider tapping the side of a glass if they don’t have a bell.
  • Kat – Our special meeting, a Tall Tales Contest, is next week (July 29th).  Kat still has roles available so contact Kat if you would like to help out.  The meeting will start at 7 and will be a zoom meeting.

Committee Reports:  Public Relations Committee: Sean Sheehan reported on behalf of Patrick Hunt that:

  • There is an upcoming Sunset Hills Chamber of Commerce luncheon on Tuesday 7/21, the cost is $18.  If you plan to attend please see the email Patrick sent out, RSVP to the Chamber of Commerce, and email Patrick so he will know who is attending. Note the club discussed luncheon payment and confirmed the individual attending must pay for themselves and SCTM will not cover the cost.

Unfinished Business:

Topics concerning returning to in person meetings.

    • The club voted to approve future split meetings consisting of both in person and virtual when the club is ready to return to in person meetings.  That is pending availability of the equipment which Jerry Paul will provide.  He will notify us when we are ready. The next upcoming meeting will be fully virtual.
    • The Sunset Hills Community Center informed us they will require our meeting times to be from 6 – 8 pm (due to custodial services requirements), at least through the end of the year.
      • The club voted and approved:
        • To keep and reserve the room at Sunset Hills.
        • To start the meetings at 6 pm.  Those who can not be in attendance at 6 pm should notify the VPE (Kat Higashino) to only give them roles that start later in the meeting after they can be in attendance (whether virtual or in person).
      • The club also asked how many are comfortable with returning to in person meetings and 11 of those present indicated they are.

      • South County Toastmasters club 1957 was awarded the Online Ovation Education award at the Gold level by Toastmaster’s International for initiating virtual meetings between Jan 1 and June 30 of 2020 and for achieving 6 education goals based on the Distinguished Club Program.

New Business:     Issues concerning returning to in-person meetings were discussed.  Most members are not comfortable with returning to in person meetings Mid-July if that becomes an option.  We may need to pay for the room to retain our slot even if we don’t use it, members were in favor of doing that to retain our slot.  Also, the community center may require we move to an earlier time slot of 6 – 8 pm.  The topic was tabled for future discussion as more information becomes available.

Sean Sheehan gave a report about the progress the public relations committee has made.  They’re integrating new ideas such as the use of Instagram and Twitter.   They are continuing to be very active and expect to have more to report in the coming weeks.

Victor Mattison shared that we need to make a decision about our meeting room sometime in early July as they will start to take new reservations in mid-June.   They have not been charging us during the weeks they’ve been closed but said there was no discount available if our room capacity is limited upon our return.   It was recommended that this be added to next week’s agenda.

Newly elected officers  will be inducted next week and Angela Breinan will be officiating the proceedings

Sean Sheehan reported that his committee is in the process of implementing the ideas shared and approved last week.  Proposed that the club join the Crestwood-Sunset Hills Chamber of Commerce with over 200 corporate and 1000 individual members.

Upon a motion and second, the motion passed without dissent.

We received word that as of July 18th, the city will be allowing organizations to utilize the meeting rooms however with a few changes;

             -New hours – the center will close at 8pm

             -Conference style room (tables/chairs – only 15 people

             -Theater style (chairs only) – 35 people

 We were asked whether we want the room reservation under the new hours (6 -8pm instead of 7 -9, every Wednesday and if we’re ok with the new maximum # of people for the room until St. Louis County allows more.    We should have discussion about this to give some feedback to Sunset Hills soon as we don’t want our night to be reassigned to another group.   However, the final decision should be made by the incoming officer team.  

Debbie Young shared that she is conducting an online Pathways Training session   – Tuesday, June  23, 7:30 – 8:30pm.  It is free and Debbie encouraged all members to attend.  For more information please contact Debbie or register online at https://dist8tm.org/training/

Kathy Denton shared that there is a new award available to TM clubs, the Online Ovation award.  In summary, clubs must hold online meetings and achieve certain advancement goals.   More information is available via toastmasters.org.

Jim Bubash was previously asked if he could record speeches and he explored how to record and upload meetings to YouTube.   Upon further inquiry he reported there was a strong objection to having meetings uploaded.  In lieu, he shared how individual members can record their own speeches.

Officers’ Reports:  

JD reported that at the district meeting some changes were made to the assignment of clubs within the district (i.e. some are changing “area” assignments to help balance resources. He also shared that the national organization has lost about 10% of its members.  Lots of attention is being dedicated to how to grow.

Kathy shared we achieved our President’s Distinguished award and thanked all members

Kathy shared meetings are posted for June.  Due to lower membership numbers some members are being assigned to multiple roles, this being required to fill all the roles.  When you check the schedules, be sure you’re not there twice.

  • Kathy Denton reminded the club that, despite the current plan to meet remotely, we need an event chairperson.
  • The club’s By-Laws are being updated to reflect changes due to Pathways, changes to fees and to streamline the format and organization of the material. An updated version will be sent for the club’s review and comment prior to a vote as to whether the changes will be approved

Unfinished Business:

  • The nominating committee has begun working on candidates for next term. If you are interested to serve in an officer’s role please let them know. The committee includes; Debbie Young, Jerry Paul, and George Kiser

New Business:

  • JD got a call from a district representative about the spring meeting, May 15-16. The meeting will be held via Zoom. Information is available on the district 8 website, http://www.dist8tm.org

Business Meeting:       

Due to the special nature of this meeting, our first of this kind, there was no business meeting.

Table Topics:

Upon the recommendation of Debbie Young we held a table topics relay during which each member was asked a table topics question and then, in turn, asked one of another member.    There was some concern about how members would acclimate to the use of video conferencing technology but it was remarkably smooth.

It was good to be together and nice to keep our collective bookmark on our regular meeting date/time.

For our first remote meeting it went very well.  We’ll expand on this idea for future meetings.   

Approximately 15 members attended.

  • There were no minutes from the meeting of March 25 to approve.
  • Patrick Hunt reported that there were at least 5 members who he felt were not renewing their membership and there may be more.
  • Sunset Hills Community Center is returning a credit for the meetings that we cannot hold due to the pandemic and that credit can be applied to future meetings, so this time off is costing the club nothing in rent. Patrick will continue to pay SSCC for another month and then stop payments unless we have restarted meetings again which is not likely.

Zoom Video Conference

The Zoom.us basic account is free, but is limited to 40 minutes when you have a crowd. Apparently, what some groups do is have a 40 minute meeting and then after that meeting is done, they have a second meeting.

I installed it on my Chromebook from the Google Play store. It should also work on other systems and devices.

My experience with one other person is that we both had audio problems and could not hear each other. By clicking on different links we worked it out. This does show that you need to watch an instruction video and understand where the controls are.

Here’s a good article on the basics of getting ready for a Zoom call.

Toastmaster Clubs – it appears that many of the online clubs use Zoom as their means of communicating. As of this date, TI doesn’t have any support for video meetings. One thing I have surmised is that Zoom is like Pathways – it takes a while and a few curse words to get everything working, but with practice you can get it to work.

The Basic FREE Plan includes:

  • Unlimited number of meetings (one meeting at a time)
  • No expiration date
  • No time limit for 1-on-1 meetings
  • 40 minute limit on meetings with 3-100 people

  • Susan McConnell prepared some flyers to promote the upcoming Youth Leadership program which she hopes members can help distribute to places such as local libraries.  Please contact Susan if you can help.
  • Debbie Young said that due to the tight pre-meeting timetable she is going to set out meeting agendas, ballots and similar items on the countertop area just inside the meeting room. Members should pick this material up as they come in.   Remember, we are not expected to be in the space before 6:45pm though we’re allowed to congregate in the common areas in the foyer area. We will need to be out shortly after 9pm so we’ll need to work on the process to make that happen.

Officers’ Reports:       

  • Debbie Young requested the purchase of 2500 perforated ballots which will cost about $150.  The motion was seconded by George Kiser and the purchase was approved
  • Jim Salih lead a discussion about a recognition event for Howard on our first night at the new location, March 4.  He asked for approval to spend $50 on a cake to commemorate our new home and our founding member. The motion was seconded  by Rich Puskarich and the purchase was approved. Jim said he would confirm Howard’s attendance before spending the money
  • Kathy Denton, as VPE, announced that more paths have been completed and we’re very close to achieving our President’s Distinguished award.
  • Victor Mattison reminded everyone we have only one more meeting after tonight’s before we relocate.   Until we get used to the location and rules we are not expected to be in the space before 6:45pm though we’re allowed to congregate in the common areas in the foyer area.   We will need to be out shortly after 9pm so we’ll need to work on the process to make that happen.
  • Susan McConnell announced she will begin to promote the new location once we’ve moved and will be working to promote the upcoming Youth Leadership even this week and next.

  • Kathy Denton told the club that we need a new events chairperson as she will not be able to fulfill that role again.  Interested persons should see Kathy for more information.

 Unfinished Business:     

  • Jim Salih reminded everyone that dues will be due soon and they will be $76.00.  More details will soon be sent by Patrick Hunt, Treasurer

New Business: 

  • Debbie Young reminded the club the Area 4 Speech Contest will be held at the Grand Glaize Library this coming Saturday.   Bill Collier and Victor Mattison will be representing our club. Jim Bubash will be competing representing the JeffCo Challengers club.  The contest starts at 10am. Volunteers are needed.  
  • Jim Salih is again coordinating the Youth Leadership program which will start on March 10 and will include 8 (non-consecutive) Tuesdays.  They will be non-consecutive due to some schedule conflicts on a couple Tuesday nights when the fire department will need the room. The program will be held at the Saline Valley Fire Department and will cost $10 per child.
  • Kathy Denton said there’s a 5th Wednesday in April and suggested we start to think about what we want to do with that extra night.

The Area 4 International and Humorous Speech Contests were held on February 22, 2020 at Grand Glaize Library.  Members of South County Toastmasters presented interesting and entertaining speeches.  One of the contestants, Jim Bubash, represented Jeffco Challengers in this contest, but is also a member of South County Toastmasters.  Bill Collier, first place winner of the Humorous Speech Contest, will compete in the Division A contest on March 28, 2020.  Congratulations to all the participants!!

Change in PlansThe Saline Fire Department just called me and told me that they forgot to tell me that they have voting on Tuesday, March 10. So, Youth Leadership will not start tomorrow night. It may start the next week if we get enough students which we don’t have at this moment. But no class tomorrow night, March 10, for sure.

On Wednesday, February 12, 2020, South County Toastmasters hosted a Humorous Speech Contest.   Club members were entertained by the stories shared by the contest participants.  The winners are shown in the photo above from left to right:  Bill Collier (First Place); Kathy Denton (Second Place); and Matt Clark (Third Place).  Bill Collier will represent South County Toastmasters at the Area 4 Humorous Speech Contest on February 22, 2020.  Thanks to all the participants for providing an entertaining evening.  Congratulations to all the winners!

Committee Reports:

  • Debbie Young filled the last needed role for the  club speech content which will be held on February 5. There is still room for speaker contestants in each of the Humorous Speaking and International (which means it’s a general speech, not required to be of any particular type or style).   Find here a copy of the 2019-20 Speech Contest Rulebook.   Anyone who is interested to help or speak should contact Debbie.
  • Following up on the discussion of last week and the email summary that was sent to all members, Victor Mattison proposed:

As recommended by a unanimous vote of the club’s officers last week, I move that the club dues be changed to $76 per 6-month term (instead of $51 per term) in order to accommodate the cost of our new location at the Sunset Hills Community Center.

The motion was seconded by Jim Salih and passed by a unanimous vote of the active club.  The dues increase will go into effect on our next renewal in March/April.

  •  A short discussion followed to discuss whether this increase would cost significant membership (which is not anticipated).  The per 6-month dues are spent as follows:
    • $25 – to pay for the costs of our meeting space
    • $45 – is remitted to the Toastmasters International organization 
    • $6 – is retained by the club to be judiciously spent on things to benefit the club.

Meeting Minutes South County – Toastmasters (#1957) – January 22, 2020

President’s Report:

  • JD shared that he will be away from the club starting in mid-February for about 6-weeks.  Per the club’s governing documents the EVP, Kathy Denton, is the second in command and will assume leadership of the club in JDs absence.

Committee Reports:

  • Debbie Young announced the club speech content will be held on February 5. There is a need for both contest officials and speakers.   The contest will include both Humorous Speaking and International (which means it’s a general speech, not required to be of any particular type or style).   Find here a copy of the 2019-20 Speech Contest Rulebook.   Anyone who is interested to help or speak should contact Debbie.
  • Victor Mattison shared that the club officers met prior to the meeting to discuss the relocation of the club to the Sunset Hills Community Center and the additional cost this will incur.  Our first meeting will be held there on March 4. met to discuss options to address this additional cost.    We discussed several options (which have been previously shared with the club) but, in the end,  voted unanimously to recommend to the club membership that this cost be paid for by increasing the per-term cost to $76 per member.   Here’s how that covers the incremental $2,000 per year. Our membership moves up and down but is, on average, about 40 members. So, at $50 per member per year ($25 for each of the two 6-month terms) we can pay for the upgrade to a new and better meeting place.   We recognized that this increase may cause hardship to some and we feel STRONGLY that we not lose members due to any members’ temporary cash-crunch (which we’ve all struggled through from time to time). If this is your circumstance, DO NOT QUIT – please see the club Treasurer (Patrick Hunt) who has been authorized to help.  In such a case, Patrick will confirm his intent with the club President (JD Perper) and your request for assistance will otherwise be kept in confidence. The other officers and club members will not be told the name of anyone who requests help. Victor said this plan will be shared via this email so everyone has a chance to read and understand it.  We will vote on a motion for this to be adopted at the regular club meeting next week, January 29, 2020.
  • Kathy Denton shared details about the VPE role and how meetings are scheduled.   She reminded members that the VPE sends a notice out a few weeks before the start of each month asking for any role requests or days you’ll be unavailable.   She uses this information to plan meetings. If a member plans to be absent it’s important to so notify the VPE prior to that month’s scheduling. If you don’t indicate you’ll be absent or with other instructions you are subject to being scheduled for any role, including that of speaker.   She recommends that all members check their email sufficiently often as to timely receive these important planning emails. Once the month’s meetings have been scheduled and posted, if you can not attend a meeting it is your responsibility to find a replacement and notify the Toastmaster and GE of that meeting.
